We ask that you finalize your travel plans no later than November 1st.

Before booking your flights, please be aware that you are responsible for understanding visa requirements for entry into Canada. The need for a visa depends on the country that you are a Citizen of (who issued your passport). You can visit the Government of Canada's website to view your entry requirements.

Arrival Dates:
Sunday, January 10th:
 Employees based in Australia, JAPAC, & EMEA are approved for travel on this day
Monday, January 11th: Employees based in North America are approved for travel on this day.
*please note, there is a Welcome Party on Monday at 630pm so plan your arrivals accordingly 

Departure Date:
Thursday, January 14th: All Employees to depart! * If you are extending your stay, you are still required to book a non-refundable economy flight home. 

Booking in Navan:

Flights: 

  • Please book your flights to Montréal–Trudeau International Airport (YUL).
  • All flights to Montreal are required to be booked through Navan and will follow the company T&E Policy.  
  • Everyone with the exception of employees based in Australia are required to book non-refundable economy tickets for this event. Australian employees are permitted to book premium economy non-refundable tickets due to the distance of their travel. 
  • SurveyMonkey will not cover flight upgrades or checked baggage. If you wish to upgrade or add baggage, please contact the airline directly after booking in Navan and use your own credit card.

Hotels: You do not need to reserve a hotel room in Navan.

  • We have a room block at the DoubleTree by Hilton Montreal (1255 Jeanne Mance Street, Montreal, Quebec, H5B 1E5, Canada)
  • Your check in date at the hotel is based on your approved travel dates. Please connect with Jessica Jorgensen or Nicki Baker ASAP if there are changes to your arrival date.

Check-in Times: After 4pm on respective arrival dates
Check-out Time: All employees check out at 11am on Thursday, January 14th

  • If you are planning to arrive/depart outside of the approved event dates, you will be responsible to coordinate and pay for your own accommodations. Please note these additional nights will be at your financial responsibility and should not be expensed.

Navan Travel Card:

For travel expenses, such as Ubers & meals,  please request a Navan Travel card at least 4 weeks ahead of the event. Please follow the prompts in the Corporate Credit Card Policy to receive your card. You must submit all receipts in Navan.

Yes, if you wish to extend your stay at the event host hotel, please contact Executive Group Travel at info@executivegrouptravel.com to secure any additional nights. Please note these additional nights will be at your financial responsibility and should not be expensed.

If you plan to extend your stay outside of your approved event dates on your own at another Montreal hotel, please be aware that you will be responsible to coordinate and pay for your own.

The Hotel has been pre-booked and billed to the company so please do not reserve your own room.

[fa icon="plus-square"] Is airport transportation provided?

SurveyMonkey will cover the cost of all airport transfers in Montreal, but will not be organizing transfers for attendees.  Please use Uber/Lyft/ or taxis and expense airport transfer costs following the event. The airport is just 20-30 minutes from the hotel depending on traffic.

Upon arrival to the Montreal Airport, rideshare for Lyft and non-UberX Uber rides are located remotely in the P4 parking structure. Passengers must take a shuttle bus from Door 11 to reach this pickup zone. Only standard UberX vehicles pick up passengers directly at the terminal near Door 28. Navigating the pickup zones correctly depends on the service and the vehicle type:
  • UberX: Proceed to Door 28 on the arrivals level for direct terminal pickup.
  • Lyft & Premium Uber Rides (UberXL, Black, etc.): Walk to Door 11 to catch the airport shuttle to the P4 parking garage. Once at P4, you will need to walk through the rental car area to reach the designated rideshare pickup.
When exiting your flight, follow the signs for "Ground Transportation" to find your designated waiting area or the shuttle bus to P4. 

If you are checking a bag, you should wait until you are ready to go to make your request (bags in hand). Drivers are not allowed to wait or circle the terminal if you’re delayed. 

We ask that if you are on the same flight at co-workers to please ride share for your trip from the airport to the hotel!

Yes, on-site parking is available at the hotel. For those coming to the event within driving distance, please park at hotel and your parking will be covered by SurveyMonkey. We ask that you self park and do not use the Valet option.

[fa icon="plus-square"] What should I pack?

This is a casual trip. The average high daytime temperature in January in Montreal is 22°F (-5°C) degrees so we recommend bringing a warm jacket, winter hat, and gloves! Our events will be hosted inside however please be prepared for the cold weather for offsite events in the evenings.

[fa icon="plus-square"] If the itinerary changes, how will I stay updated?

There will be three options.

1. Download the Trip Plans app that Executive Group Travel sends you, it will be hard to survive this trip without it. It provides everything from hotel confirmation # to breakout room assignments.

2. The website will also have all updates posted before the event and during the event.  

3. Nicki & Jessica will also communicate any changes via email/slack in addition to the website/app.
